Reservations, Deposits & Cancellation Policy

Booking Confirmation

All reservations remain provisional until confirmed in writing by Thameside Social and, where applicable, the required deposit has been received.

For larger groups, private dining events, hospitality bookings and corporate events, a deposit and/or advance payment may be required to secure the reservation.

Final Numbers & Payments

Final guest numbers must be confirmed no later than 14 days prior to the event date.

Where a balance payment is due, this must be received no later than 14 days prior to the event date unless otherwise agreed in writing.

Any reductions in guest numbers within 14 days of the event may be treated as a partial cancellation and charged accordingly.

Cancellation Policy

Due to the nature of event planning, staffing commitments, stock purchasing and venue preparation, the following cancellation terms apply:

More than 6 Months Before the Event

  • 75% of any deposit paid will be refunded.

  • 25% of the deposit will be retained as an administration and reservation fee.

Between 2 and 6 Months Before the Event

  • 50% of any deposit paid will be refunded.

  • 50% of the deposit will be retained.

Between 4 Weeks and 2 Months Before the Event

  • 25% of any deposit paid will be refunded.

  • 75% of the deposit will be retained.

Within 4 Weeks of the Event

  • All deposits and advance payments become non-refundable.

Within 14 Days of the Event

  • 100% of all deposits and advance payments are non-refundable.

  • Thameside Social reserves the right to recover any outstanding balances, costs incurred, or contracted sums where commitments have already been made in preparation for the event.

Corporate & Exclusive Hire Bookings

For exclusive hire, corporate hospitality and private events, Thameside Social may reserve significant venue capacity and decline alternative bookings.

Accordingly, cancellation charges reflect the loss of business opportunity, staffing commitments, stock purchases and operational costs incurred as a result of holding the reservation.

Force Majeure

Thameside Social shall not be liable for any failure to perform its obligations due to circumstances beyond its reasonable control, including but not limited to acts of God, extreme weather, government restrictions, public health emergencies, civil unrest, venue closure, or cancellation/significant restriction of Henley Royal Regatta or associated events.

In such circumstances, Thameside Social will work with clients in good faith to transfer bookings where possible.

Discretion

Thameside Social reserves the right, at its sole discretion, to offer alternative dates, credits or partial refunds where exceptional circumstances apply. Any such gesture shall not constitute a waiver of these terms and conditions.

By making a reservation, paying a deposit or confirming an event, the client acknowledges and accepts these terms and conditions.
